Check what you are being asked to answer
Read the invitation and list each allegation separately. Check the documents supplied, the possible outcomes described and the relevant policy. If essential information is missing, identify it precisely and ask for it through the appropriate channel. An uncertain allegation is harder to answer than a clear one; record what you need clarified.
Prepare a response table
For each allegation, write the facts you accept, the facts you dispute, supporting documents and questions you want answered. Keep explanation separate from speculation about motives. If you made an error, consider how to explain it accurately and what context matters. A useful response addresses the allegation rather than reciting every workplace difficulty.
Consider accompaniment and adjustments
Acas explains the statutory categories of companion for qualifying disciplinary hearings: a colleague or an eligible trade union representative. A friend or solicitor is not automatically within that statutory list. Policies and reasonable adjustments may be relevant. Check the arrangements early, including any communication, access or disability-related needs.
Rehearse the difficult questions
Ask yourself what the employer is likely to put to you and how you would answer using the records. Prepare short factual answers. If you do not remember something, do not invent a response to fill the silence. Keep a separate list of documents you need to refer to so that your explanation is easy to follow during the meeting.
Keep a clear follow-up record
After the hearing, record what was discussed, any further information requested and the next step promised. Check the written outcome against your notes. Read the appeal process and timetable if you disagree with the outcome. Tribunal deadlines, where relevant, are a separate question and should not be ignored while an internal procedure continues.
